Best Workforce Productivity Software: 8 Platforms (2026)

Workforce productivity software answers organisation-level questions rather than individual ones: do we have the right number of people in the right teams, is the meeting load sustainable, which teams are at capacity, what is after-hours work doing to attrition, and is a hybrid policy or a reorganisation working. The same vendors sell to managers and to leadership, but the leadership product is the aggregated, trended, de-identified view, and two of the strongest tools here never install anything on a device at all.

I reviewed eight platforms for that use, with pricing checked in October 2026. The first three represent the three routes to a workforce view: a device agent with organisation analytics (ActivTrak), Microsoft 365 signals (Viva Insights) and cloud application data (Prodoscore). The rest fit particular organisations. Personal insights are free with E3 and E5; the organisational layer is $6 a user. It knows nothing about applications outside Microsoft.

Agent or agentless

The device agent sees applications, websites and activity on any stack, which is why ActivTrak, Insightful and Time Champ can answer capacity and attendance questions that Viva Insights cannot. The agentless route sees only what the cloud platform holds, email, meetings, chat, documents, CRM, but sees it for the whole organisation at once, with nothing to deploy, no screenshots possible, and aggregation and minimum group sizes built in. For leadership questions about collaboration and wellbeing the agentless route is often enough and far less contentious; for capacity and attendance it is not. Many organisations run Viva Insights for the leadership view and an agent only where attendance or utilisation genuinely requires it. How these tools were evaluated

I evaluated each tool against the same checklist: what it captures and how configurable that is, which platforms it runs on, how it treats the employee (visible or silent agent, access to their own data, screenshot blurring and private time), what the published pricing is and what the minimum commitment really costs, how long data is kept, where it can be deployed, and what the vendor's own documentation and verified user reviews say about reliability and support. Pricing was taken from each vendor's pricing page in October 2026; where a vendor publishes no price, the page says so rather than guessing. Free plans and trials were used where they exist. I did not run a formal benchmark, and the page does not claim one.
