Hubstaff Pricing (2026): Every Plan, Minimum, Add-on and Hidden Cost

Hubstaff costs $4.99, $7.50 or $10 per seat per month on annual billing for its Starter, Grow and Team plans, or $7, $9 and $12 month to month, with Enterprise at $25 on annual billing only. Three rules move the real price: every paid plan has a two-seat minimum, every user who tracks or manages takes a seat, and several features are sold as add-ons on the plans that do not include them. The plan most teams need is Team, because payroll, scheduling, overtime rules and GPS live there.

This page sets out the October 2026 prices, what each plan includes feature by feature, the add-ons, the billing rules on proration, refunds and cancellation, what teams of 1, 5, 25 and 100 actually pay, the price history, what customers complain about with dated quotes, and the cheaper and dearer tools at the same level. It is written for a buyer choosing a plan, not for Hubstaff.

Hubstaff plans and prices, October 2026

PlanAnnual billing, per seat per monthMonthly billing, per seat per monthMinimumBuilt for
Starter$4.99$72 seatsTime tracking, activity levels, limited screenshots and reports
Grow$7.50$92 seatsAdds projects, budgets, invoicing, idle timeout, expenses and more integrations
Team$10$122 seatsAdds payroll, scheduling and attendance, time off, overtime rules, unlimited screenshots, GPS and job sites
Enterprise$25Annual onlyQuotedAdds SSO, HIPAA, enterprise deployment, dedicated support and higher data retention

Annual billing is described on the pricing page as "2 months free", which is a 16.7% saving; the $4.99, $7.50 and $10 figures are the annual rates and the $7, $9 and $12 figures are what you pay month to month. There is no permanent free plan: the 14-day trial needs no card and paid plans carry a 30-day money-back guarantee. Every user who logs in to track time or manage others takes a paid seat; the one exception is the free Project Viewer role, which can see reports but not track time. On October 28, 2026 the pricing table did not render its figures to automated requests, and the page's FAQ example uses "$10 per seat per month" for the Team plan, which matches the annual rate above; the full table was read earlier in October 2026 for our tracking review. The plan most teams end up on is Team, because that is where payroll, scheduling, overtime rules and GPS live. Starter is a trial-grade plan for a two-person team that wants hours and an activity percentage; Grow is right for agencies that bill clients from tracked time but run payroll elsewhere.

Add-ons

Hubstaff marks several features on its pricing table with an asterisk, meaning they are available as paid add-ons on plans that do not include them. The add-ons Hubstaff has offered include Insights (workforce analytics on utilization, focus and smart notifications), Tasks (its Kanban project tool), Data Retention (longer history), Locations (GPS and job sites for lower plans) and Corporate (SSO and account controls). The add-on list and prices did not render on October 28, 2026; in earlier 2026 checks Insights was priced at about $2 per seat per month and Locations at about $4. Budget for at least one add-on if you choose Grow, and compare the total with Team before deciding.

Billing rules that change the price

What a team actually pays

TeamStarterGrowTeam plan
1 person (billed as 2 seats)$9.98 annual; $14 monthly$15 annual; $18 monthly$20 annual; $24 monthly
5 people$24.95 a month annual ($299 a year); $35 monthly$37.50 ($450 a year); $45 monthly$50 ($600 a year); $60 monthly
25 people$124.75 ($1,497 a year); $175 monthly$187.50 ($2,250 a year); $225 monthly$250 ($3,000 a year); $300 monthly
100 people$499 ($5,988 a year); $700 monthly$750 ($9,000 a year); $900 monthly$1,000 ($12,000 a year); $1,200 monthly

Arithmetic from the list prices above; add any add-ons and the seats of managers who track or approve. A 25-person agency on Grow with the Insights add-on at about $2 would pay about $237.50 a month on annual billing, which is within $12.50 of Team.

Price history

Hubstaff restructured its plans in 2023 from Starter, Grow and Team at $4.99, $7.50 and $10 to the same names at the same annual prices with features moved between tiers, and introduced the add-on model. The monthly rates of $7, $9 and $12 have applied since then. Enterprise was listed at $25 on annual billing in 2025 and 2026. We found no price increase on the list rates in 2024, 2025 or 2026; the practical price has risen for some customers through features moving to add-ons. Wayback Machine snapshots could not be fetched on October 28, 2026 to confirm the exact dates.

What customers complain about

Hubstaff's Trustpilot one-star reviews are overwhelmingly about billing rather than the product. Five from 2026:

Charges after cancellation

The most frequent complaint. The fix is to cancel inside the account by archiving the organization, screenshot the confirmation and check the card for two cycles.

Despite canceling in time, Hubstaff still billed my account.Trustpilot, one star, March 10, 2026

Fixed by: cancel in the app, not by email alone, and keep the confirmation

Paying for unused add-ons or seats

Add-ons and seats persist until removed; an add-on enabled during a trial keeps billing.

I was overcharged for 2 years for a feature I was not using and they refused to refund.Trustpilot, one star, May 8, 2026

Fixed by: audit seats and add-ons on the first invoice

Refunds refused outside the 30-day window

Annual plans are not refunded after 30 days, and the guarantee excludes the trial.

They provided no courtesy or flexibility regarding a billing charge and refused to issue a refund.Trustpilot, one star, October 2, 2026

Fixed by: choose monthly billing until the team is settled

Multiple charges

Reported by a June 2026 reviewer; likely seats added mid-cycle under proration, which looks like duplicate billing on a statement.

Hubstaff charged my account multiple times without my permission and they are ignoring me.Trustpilot, one star, June 30, 2026

Fixed by: read the invoice line items

How this was checked

Prices and billing rules were read from hubstaff.com/pricing and its FAQ in October 2026, most recently on October 28, when the plan table did not render to automated requests but the billing FAQ did. Trustpilot reviews were read the same day. Hubstaff did not pay for this page and there are no affiliate links.

Key takeaways

Frequently asked questions

How much does Hubstaff cost per user?

$4.99 (Starter), $7.50 (Grow) or $10 (Team) per seat per month on annual billing, or $7, $9 and $12 month to month, with Enterprise at $25 per seat on annual billing. Every paid plan has a two-seat minimum. Prices were checked in October 2026.

Does Hubstaff have a free plan?

No. Hubstaff offers a 14-day free trial without a card and a 30-day money-back guarantee on paid plans. The free Project Viewer role lets someone view reports without a paid seat but cannot track time.

What is the cheapest Hubstaff plan?

Starter at $4.99 per seat per month on annual billing, with a two-seat minimum, so $9.98 a month at the least. It covers time tracking, activity levels and limited screenshots and reports; projects, invoicing, payroll, scheduling and GPS require Grow or Team.

Which Hubstaff plan has payroll and GPS?

Team, at $10 per seat on annual billing. It adds payroll and payments through PayPal, Wise, Gusto and Deel, scheduling and attendance, time off, overtime rules, GPS and job sites, and unlimited screenshots. Some of these are available as paid add-ons on Grow.

Does Hubstaff charge for managers?

Yes, if they track time or manage others; every active user takes a seat. A manager who only needs to view reports can be given the free Project Viewer role.

Can I get a refund from Hubstaff?

Within 30 days of starting a paid plan, yes, under the money-back guarantee, which excludes the 14-day trial. Annual plans are not refunded after that window, and removing seats mid-cycle produces no credit.

How do I cancel Hubstaff?

Archive the organization in the account settings, which cancels the subscription automatically, or email support. Keep a screenshot of the confirmation and check your card statement for the next two cycles; charges after cancellation are the most common complaint in Hubstaff's one-star reviews.

Is Hubstaff cheaper than Time Doctor?

At the entry level, yes: Hubstaff Starter is $4.99 against Time Doctor Basic at $6.70 on annual billing. At the realistic plans, Hubstaff Team at $10 is cheaper than Time Doctor Standard at $11.70, and Time Doctor's add-ons for payroll integrations cost $200 a month each. Our Hubstaff vs Time Doctor comparison goes through it.
