Productivity Monitoring Software Comparison: 12 Tools (2026)

This page is the data behind the productivity monitoring review: twelve tools on thirteen criteria, pricing and minimums as published in October 2026, and a filter that removes anything that cannot run where you need it, costs too much or captures what you will not allow. It does not rank. The capture columns (screenshots, keystroke content) are the ones to read first, because they decide whether a tool is analytics or surveillance, and the review pages rank within those bands.

How to read the matrix

Start with the capture columns. A tool with No under Screenshots and Keystroke content cannot become surveillance by misconfiguration; a tool with Yes can be configured either way. Then read Data source: the agentless tools (Prodoscore) and the employee-first ones (RescueTime) measure differently from the agents, and comparing their scores to ActivTrak's is comparing different things. Then Employee self-view, which decides whether the person measured can see and correct their own pattern. Only then price.

Three ways to shortlist

How these tools were evaluated

I evaluated each tool against the same checklist: what it captures and how configurable that is, which platforms it runs on, how it treats the employee (visible or silent agent, access to their own data, screenshot blurring and private time), what the published pricing is and what the minimum commitment really costs, how long data is kept, where it can be deployed, and what the vendor's own documentation and verified user reviews say about reliability and support. Pricing was taken from each vendor's pricing page in October 2026; where a vendor publishes no price, the page says so rather than guessing. Free plans and trials were used where they exist. I did not run a formal benchmark, and the page does not claim one.

Disclosure. I have done work for Time Champ. It appears here because it belongs in this category, it is held to the same criteria as every other product, its drawbacks are listed like everyone else's, and it bought no placement. There are no affiliate or vendor links on this page.

Key takeaways

Frequently asked questions

How do I compare productivity monitoring software?

Read the capture columns first (screenshots, keystroke content) to decide whether each tool is analytics or surveillance; then the data source, because agentless tools measure differently from agents; then whether the employee can see their own data; then platforms, minimums and price. The filter and matrix on this page follow that order.

Which productivity monitoring tools are agentless?

Prodoscore derives its score from Google Workspace, Microsoft 365, CRM and phone system activity with nothing installed (an optional desktop connector exists). Microsoft Viva Insights, covered on the workforce productivity page, uses Microsoft 365 signals. Every other tool here installs an agent on the device.

Which tools take no screenshots?

WorkTime, Prodoscore and RescueTime never take screenshots. ActivTrak and DeskTime have them off by default (DeskTime offers them only on Premium). Insightful sells them as an add-on. Hubstaff, Time Doctor, Monitask, Time Champ, Controlio and Teramind include screenshots or recording on some plan.

Which productivity monitoring software can employees see their own data in?

ActivTrak, Insightful, DeskTime, Hubstaff, Time Doctor, Time Champ, Monitask, Prodoscore and RescueTime all provide an employee self-view; RescueTime is built around it and Time Champ has a visible mode. Teramind, Controlio and WorkTime are manager-only by design.

What is the cheapest productivity monitoring software?

Time Champ at $3.90 per user on annual billing, Hubstaff at $4.99 (two-seat minimum), WorkTime at $5.83, then DeskTime, Monitask, Controlio and Time Doctor between $6.42 and $6.70. ActivTrak, DeskTime and WorkTime have free tiers for one to three people. Prodoscore is the most expensive at $19.99 with a fifteen-seat minimum.

Does the matrix show which plan includes each feature?

No; a Yes means the capability exists on some plan or as an add-on. The cards below the matrix describe what each tool measures and where it falls short, and the price table shows the entry plan at 10, 50 and 200 users with a note on the plan most buyers need.
