ActivTrak Alternatives (2026): 11 Tools by Contract and Retention

An ActivTrak alternative is a workforce analytics or monitoring tool that records application and website use and reports productivity, and fixes whichever of ActivTrak's constraints sent you looking. There are four. Annual contracts only, at $10 to $21 per user: Insightful bills month to month at $8, WorkTime from $5.83. Data retention of six months on the two lower plans: Insightful keeps 24 months, WorkTime keeps everything. Screenshots as a priced add-on on the lower plans and absent on the higher ones: Insightful, Time Doctor, Teramind and Controlio put images or recording on plan. No Linux agent and no time tracking: Hubstaff, Time Doctor and Insightful have both.

The pages that rank for this search are written by Time Doctor and TimeCamp, each ranking itself first, one carrying a 2026 title on a 2024 article and the other with a stale Teramind price in three places. This guide gives the reasons with the plan facts behind them, October 2026 pricing for eleven tools with retention and deployment, a chooser, and a contract exit plan. There are no vendor links and nothing paid for its place.

The short answer

If the annual contract and the price are the problem, Insightful does the same analytics with screenshots for $8 on monthly billing, WorkTime from $5.83 with no images at all, and Monitask from $6.49.

If data retention caps are the problem, Insightful keeps 24 months and WorkTime keeps everything on paid plans, against ActivTrak's six months on the two lower plans.

If you need more than analytics, Teramind, Veriato and CurrentWare add keystrokes, data loss prevention and on-premises deployment; Hubstaff and Time Doctor add time tracking, Linux agents and payroll.

What ActivTrak costs and does in October 2026

ActivTrak

ActivTrak

The incumbent
Runs on Windows, macOS, Chromebook; no Linux agent (a Chrome-based agent is suggested for other systems) Pricing (October 2026) Free for 3 users with 30 days of history; Work Activity Tracking $10, Workforce Management $15, Productivity Optimization $17, Workflow $21 per user per month, annual contracts only; AI Insights add-on $4; Data History add-on $1 per user per month per extra year, to 3 years; Screen Details add-on (screenshots, full URLs, live view, website blocking) priced on request; paid support required above 50 licenses; 14-day trial Monitoring Light: activity only

What it is

ActivTrak records which applications and websites are active, classifies them, and reports utilization, focus time, schedule adherence, workload balance and, on the higher plans, burnout signals, capacity planning and AI coaching. It does not take screenshots unless you buy the Screen Details add-on, and that add-on is not offered on the top plans. Data history is six months on the two lower paid plans and a year on Productivity Optimization. ActivTrak repackaged its plans in July 2026, mapping Essentials, Essentials Plus and Professional to the new names, and migrated accounts from August.

Better than ActivTrak

  • Analytics on workload, focus and burnout that most monitoring tools do not attempt
  • No screenshots on the standard plans, which is simpler to explain to a team
  • A free plan for three people and Chromebook support

Where ActivTrak is still better

  • Annual contracts only; no monthly billing
  • Six months of history on the plans most buyers choose, with extensions sold by the year
  • No Linux agent, no time tracking against projects, no payroll or GPS
  • Paid support becomes mandatory above 50 licenses

Who should switch to it

Office and hybrid employers that want productivity analytics without images and can commit for a year. Our productivity monitoring software review places it among its peers.

Why people leave ActivTrak

ActivTrak's review-site scores are solid, around 4.3 to 4.5, and the complaints are structural rather than about the product failing. Each one below is a documented plan fact or a recurring review theme, with a fix.

Annual contracts and inflexible pricing

ActivTrak's pricing page states that it currently offers only annual plans. Reviewers describe restrictive contracts, a hard cancellation process and refunds that took weeks, and the expensive theme is the most cited negative on the main review sites.

Fixed by: monthly billing: Insightful (month to month on select plans), WorkTime (cancel auto-renew any time), Hubstaff (30-day money-back).

Data retention caps

Six months of history on Work Activity Tracking and Workforce Management, a year on Productivity Optimization, and $1 per user per month per extra year to go further. Last year's comparison is gone unless you paid for it.

Fixed by: Insightful (24 months), WorkTime (unlimited on paid plans), Time Doctor Premium (2 years).

Screenshots are an add-on, or missing

Teams that need screen evidence for an investigation find it is a separately priced add-on on the lower plans and unavailable on the higher ones; periodic images are no substitute for recording when you need to reconstruct an event.

Fixed by: Teramind and Veriato (recording and keystrokes), Insightful and Time Doctor (screenshots and video on plan).

The classification burden

ActivTrak's value depends on every application and website being classified as productive or not for each team. Reviewers describe the hours spent doing that and sorting large volumes of data, and the interface as complex to navigate.

Fixed by: tools with lighter setups: DeskTime, Monitask, WorkTime.

No Linux and no time tracking

Engineering teams on Linux cannot be covered by a native agent, and ActivTrak records activity but not hours against projects, so a second tool is needed for billing or payroll.

Fixed by: Hubstaff (Linux, projects, payroll), Time Doctor (Linux, payroll), Insightful (Linux, projects).

Cost at scale with mandatory support

At 100 users on Workforce Management, $18,000 a year before the AI Insights add-on, extra history and the paid support plan that becomes mandatory above 50 licenses.

Fixed by: WorkTime from $5.83, Monitask from $6.49, Time Champ from $3.90, Insightful at $8.

The alternatives in detail

Insightful

Insightful

Same analytics, screenshots on plan, two years of data
Runs on Windows, macOS, Linux Pricing (October 2026) Workforce Analytics $8 and Combo $16 per seat per month billed annually; Workflow Optimization $12 in beta; month-to-month billing on select plans; add-ons per seat: workspace security $4, on-demand screenshots $4, higher-frequency screenshots $3, screen recording $4; 7-day trial; on-premises from 250 seats

What it is

Insightful, formerly Workpuls, covers ActivTrak's ground, app and website use, activity, utilization and capacity, and adds screenshots on the base plan, time and attendance, projects and manual time, payroll on Combo, a Linux agent and 24 months of history. Stealth mode exists for company devices. It is the closest substitute at a lower price with fewer caps.

Better than ActivTrak

  • Cheaper entry at $8, with month-to-month billing available
  • 24 months of history on every listed plan
  • Screenshots on plan, screen recording as a $4 add-on, Linux agent, projects and payroll

Where ActivTrak is still better

  • No mobile app or GPS
  • Add-ons raise the price quickly
  • Stealth mode and system accounts counted as seats draw complaints

Who should switch to it

Teams that want ActivTrak's analytics with screenshots available, longer history and no annual lock-in. Our Insightful alternatives page covers the reverse move.

Switching

Export ActivTrak data through ActivConnect before the contract ends; Insightful starts clean with a CSV user import.

WorkTime

WorkTime

No images, unlimited history
Runs on Windows, macOS, terminal and Citrix servers Pricing (October 2026) Free for 3 employees with two weeks of history; Basic $5.83, Premium $7.49, Enterprise $9.16 per employee per month billed annually ($6.99, $8.99, $10.99 monthly); unlimited history on paid plans; cancel auto-renewal at any time; HIPAA, GLBA and GDPR modes and private cloud on Enterprise

What it is

WorkTime monitors application and website use, attendance and idle time and records no screenshots by design; a keystroke counter on Premium is off by default. It is the choice for regulated employers and for anyone who liked ActivTrak's no-images posture but not its retention caps or contract.

Better than ActivTrak

  • No images recorded, which is easier to explain to a regulator than an add-on you promise not to buy
  • Unlimited data history on paid plans
  • On-premises and private cloud; the cheapest paid plan here after Time Champ

Where ActivTrak is still better

  • No Linux agent, no mobile app
  • No project time or payroll
  • Reports are plainer than ActivTrak's

Who should switch to it

Healthcare, finance and other regulated employers leaving over retention and contract terms.

Switching

No importer; WorkTime keeps everything from installation onward.

Teramind

Teramind

Security-grade monitoring
Runs on Windows with full features; macOS and Linux with reduced features Pricing (October 2026) Starter $14, UAM $28, DLP $32 per seat per month billed annually ($15, $30, $35 monthly); 5-seat minimum; Enterprise by quote; cloud or on-premises

What it is

Teramind records screens as video, logs keystrokes, applies behavior rules and data loss prevention, and detects insider threats, on cloud or on your own servers. It is for the organization that found ActivTrak's periodic images insufficient for investigations or compliance.

Better than ActivTrak

  • Full session recording, keystrokes and DLP
  • On-premises deployment
  • Rule engine for alerts and automated responses

Where ActivTrak is still better

  • Two to three times ActivTrak's price with a 5-seat minimum
  • Employee trust implications of keystroke logging
  • Reduced features on Mac and Linux

Who should switch to it

Security and compliance teams that need evidence and prevention, not analytics.

Switching

Teramind imports users from directory services; ActivTrak classification data does not transfer.

Veriato

Veriato

Insider risk management
Runs on Windows, macOS, Chrome, Android Pricing (October 2026) User Activity Monitoring from $18 per user per month billed annually with a 5-user minimum; Insider Risk Management by quote with a 20-user minimum; cloud or on-premises; per-user rather than per-device licensing

What it is

Veriato captures email, chat, web, applications, screenshots, files, network activity and keystrokes, with sensitive-data redaction and a REST API, and layers risk scoring on top in its Insider Risk product.

Better than ActivTrak

  • Recording and keystrokes with redaction controls
  • Cloud or on-premises, per user not per device
  • Risk scoring for insider threat programs

Where ActivTrak is still better

  • $18 entry with a 5-user minimum
  • No Linux
  • A different purpose from productivity analytics

Who should switch to it

Organizations building an insider risk program rather than a productivity dashboard.

Switching

No ActivTrak importer; Veriato starts recording from deployment.

CurrentWare

CurrentWare

Web filtering and device control
Runs on Windows; macOS for BrowseReporter Pricing (October 2026) Full suite $20 per user per month; BrowseReporter $12, BrowseControl $6, AccessPatrol $12, enPowerManager $6; annual billing with auto-renewal, cancel 30 days before renewal; minimum of about $1,440 a year; 14-day trial on 10 computers; SaaS or on-premises

What it is

CurrentWare is modular: BrowseReporter monitors web and app use with screenshots, BrowseControl filters websites, AccessPatrol controls USB and devices, enPowerManager handles power. It runs on-premises, which ActivTrak does not offer.

Better than ActivTrak

  • Web filtering and USB control that ActivTrak lacks
  • On-premises deployment
  • Buy only the modules you need

Where ActivTrak is still better

  • Productivity analytics are shallower than ActivTrak's
  • Annual auto-renewal with a 30-day notice window
  • Windows-centric

Who should switch to it

IT teams that want control and blocking alongside visibility.

Switching

Deploy by module; no ActivTrak data transfers.

Hubstaff

Hubstaff

Time tracking, Linux and payroll
Runs on Windows, macOS, Linux, Chromebook, iOS, Android Pricing (October 2026) Starter $4.99, Grow $7.50, Team $10 per seat per month billed annually ($7, $9, $12 monthly); 2-seat minimum; monthly billing; 14-day trial; 30-day money-back on paid plans

What it is

Hubstaff tracks hours against projects with optional screenshots, activity levels, app and URL use, GPS job sites and payroll. It covers the two things ActivTrak does not, Linux and time, and bills monthly.

Better than ActivTrak

  • Linux agent and project time
  • Payroll from tracked hours
  • Monthly billing and a money-back guarantee

Where ActivTrak is still better

  • Activity score and screenshots are a different relationship with staff; see our Hubstaff alternatives page
  • Analytics on workload and burnout are thinner than ActivTrak's
  • 2-seat minimum

Who should switch to it

Teams that need hours and payroll as well as visibility, or that run Linux.

Switching

CSV import of members and projects; set screenshots off per project before inviting.

Time Doctor

Time Doctor

Screenshots, video and payroll
Runs on Windows, macOS, Linux, Chromebook, Android Pricing (October 2026) Basic $6.70, Standard $11.70, Premium $16.70 per user per month billed annually ($8, $14, $20 monthly); 14-day trial; data history 3 months, 6 months, 2 years

What it is

Time Doctor adds screenshots on every plan, video recording and anomaly detection on Premium, attendance, approvals and payroll on Standard, and Linux and Chromebook agents. Its data history on Basic is shorter than ActivTrak's, and its billing complaints are documented on our Time Doctor alternatives page.

Better than ActivTrak

  • Video recording and unusual-activity detection
  • Attendance, approvals and payroll
  • Linux and Chromebook

Where ActivTrak is still better

  • Screenshots on every plan, not optional
  • Three months of history on Basic
  • Weak public record on cancellation and refunds

Who should switch to it

Outsourcing teams that need evidence plus payroll.

Switching

CSV user import; cancel ActivTrak in writing before its renewal.

DeskTime

DeskTime

Automatic classification, light setup
Runs on Windows, macOS, Linux, iOS, Android Pricing (October 2026) Free Lite for one user; Pro $6.42 and Premium $9.17 per user per month billed annually ($7 and $10 monthly); 14-day trial

What it is

DeskTime classifies apps and websites automatically with a smaller setup burden than ActivTrak, offers private time, and keeps screenshots on Premium. It adds shift scheduling and absence for office teams and runs on Linux.

Better than ActivTrak

  • Faster to set up; classification is largely automatic
  • Linux agent and mobile apps
  • Private time built in

Where ActivTrak is still better

  • Thinner workload and burnout analytics
  • No on-premises option
  • Prices displayed in local currency on the vendor site

Who should switch to it

Office teams that want the gist of ActivTrak without the classification project.

Switching

No importer; start at a period boundary.

Monitask

Monitask

Cheap, with short memory
Runs on Windows, macOS, Linux Pricing (October 2026) Pro $6.49, Business $8.99, Business Premium $12.99 per user per month billed annually ($7.99, $10.99, $15.99 monthly); Enterprise from 100 users; screenshot frequency add-ons from $2.40; 10-day trial; data history 1 month on Pro, 2 months on Business plans

What it is

Monitask tracks time, screenshots, activity and, from Business, app and website use, with a stealth option on Pro. It is cheap and simple, and it keeps one to two months of data, which is the shortest retention on this page.

Better than ActivTrak

  • Cheap entry with monthly billing
  • Simple setup
  • Linux agent

Where ActivTrak is still better

  • One to two months of history, shorter than ActivTrak's
  • Stealth mode by default raises the questions ActivTrak avoided
  • Thin analytics

Who should switch to it

Small teams on a tight budget that export reports monthly.

Switching

No importer; export monthly.

Better than ActivTrak

  • Starter at $3.90
  • Attendance, shifts and leave in the base product
  • Linux and mobile agents

Where ActivTrak is still better

  • Shorter enterprise track record than ActivTrak
  • Security features are add-ons
  • Analytics less developed than ActivTrak's workload reports

Who should switch to it

Small and mid-sized teams that want attendance and productivity classification for the least money.

Switching

CSV import of users; set screenshot policy per team first.

Controlio

Screen recording at a low price
Runs on Windows, macOS Pricing (October 2026) Basic $6.67 and Advanced $9.99 per user per month billed annually ($7.99 and $11.99 monthly); Enterprise by quote; cloud or on-premises; 14-day trial

What it is

Controlio records screens as video with searchable activity logs, app and web tracking and keystroke logging, on cloud or on-premises, at a price closer to ActivTrak's than Teramind's.

Better than ActivTrak

  • Screen recording and keystrokes at $6.67
  • On-premises option
  • Searchable video

Where ActivTrak is still better

  • Recording is the opposite of ActivTrak's no-images posture; tell staff
  • No Linux
  • No productivity analytics to speak of

Who should switch to it

Small security-minded teams that need recording without Teramind's price.

Switching

No importer; starts recording on deployment.

How to leave an annual ActivTrak contract

  1. Find the renewal date and notice period in your order form; third-party guides describe a 30-day written notice before renewal, which you should verify in your own contract.
  2. Export the data you will want later. ActivTrak's export runs through the ActivConnect add-on into Google BigQuery, with pre-built tables such as the daily user summary, and insights downloads. If you never bought ActivConnect, download the reports you need as files before the account closes.
  3. Remove the agents by reinstalling or using remote uninstall. Remote uninstall from Settings deletes that computer's data, so export first.
  4. Issue a new monitoring notice. If the replacement records more than ActivTrak did, screenshots, recording or keystrokes, employees in Connecticut, Delaware and New York must receive written notice first, and a changed monitoring scope deserves a note everywhere. Our monitoring policy template has the wording.
  5. Overlap the trial with the last month of the contract so the new tool's classifications are set before ActivTrak's dashboards go dark.

How these tools were chosen

Each tool was checked on October 21, 2026 against the same list: what it records and how deep, data retention by plan, platforms including Linux, deployment, billing terms and minimums, and the export path from ActivTrak. ActivTrak's prices, retention caps and annual-only billing were read from its pricing page that day. Teramind's and Controlio's pricing pages were unavailable to automated requests, so their prices come from our October 2026 monitoring review and third-party listings and should be confirmed. Review themes come from public review platforms; scores are described, not quoted, because the pages could not be read. No vendor paid for placement and there are no affiliate links.

Disclosure. I have done work for Time Champ. It appears here because it belongs in this category, it is held to the same criteria as every other product, and its drawbacks are listed like everyone else's.

Key takeaways

Frequently asked questions

What is the best alternative to ActivTrak?

Insightful for most teams: the same application and website analytics with screenshots on plan, 24 months of history and monthly billing on select plans at $8. WorkTime if you want no images and unlimited retention. Teramind or Veriato if you need recording, keystrokes and data loss prevention. Hubstaff if you also need time tracking, Linux and payroll. The chooser above ranks them.

Does ActivTrak have a free plan?

Yes. In October 2026 the free plan covers 3 users with 30 days of data history and limited features. The 14-day trial of the Workforce Management and Productivity Optimization bundle downgrades to the free plan afterwards.

How much does ActivTrak cost?

$10 (Work Activity Tracking), $15 (Workforce Management), $17 (Productivity Optimization) and $21 (Workflow) per user per month, billed annually; there is no monthly option. AI Insights is $4 extra, extra data history $1 per user per month per year, and a paid support plan is required above 50 licenses. ActivTrak renamed its plans in July 2026.

Does ActivTrak take screenshots?

Only with the Screen Details add-on, which adds screenshots, full URLs, live screen view and website blocking on the Work Activity Tracking and Workforce Management plans and is priced on request. The higher plans do not offer it.

Does ActivTrak support Linux?

There is no native Linux agent. ActivTrak's support material suggests its Chrome-based agent for operating systems without a native agent. Insightful, Hubstaff, Time Doctor, DeskTime, Monitask and Time Champ have Linux agents.

How long does ActivTrak keep data?

30 days on the free plan, six months on Work Activity Tracking and Workforce Management, one year on Productivity Optimization, extendable to three years at $1 per user per month per extra year. Insightful keeps 24 months and WorkTime keeps unlimited history on paid plans.

What is a cheaper alternative to ActivTrak?

Time Champ from $3.90, WorkTime from $5.83, DeskTime from $6.42, Monitask from $6.49, Time Doctor from $6.70 and Insightful from $8, all per user per month on annual billing, against ActivTrak's $10 entry plan. Monitask keeps only one to two months of data.

Can I export my ActivTrak data?

Through the ActivConnect add-on, which exposes pre-built tables in Google BigQuery for Tableau and Power BI, and through insights downloads. Export before removing agents, because the remote uninstall option deletes that computer's data.
