Insightful Alternatives (2026): 11 Tools by Stealth and Add-ons

An Insightful alternative is an employee monitoring or workforce analytics tool that records application use, activity and, usually, screenshots, and fixes whichever of Insightful's four constraints sent you looking. Stealth mode and screenshots, which cost trust: ActivTrak and WorkTime report without images on visible agents. Add-ons, $3 to $4 per seat each for recording, extra screenshots and security: Apploye puts them on plan from $4.50 and Time Champ from $3.90. No mobile app or GPS: Hubstaff, Apploye and Time Doctor have them. No keystrokes or data loss prevention, and on-premises only from 250 seats: Teramind and Veriato deploy on-premises from five.

The pages that rank for this search are a competitor's self-ranked list, a review marketplace page and two directories that mix HR suites in with monitoring tools, none of them dated and none covering retention, stealth or deployment side by side. This guide gives the reasons with the plan facts behind them, October 2026 pricing for eleven tools with data history, stealth and platforms, a chooser, and a switch plan. There are no vendor links and nothing paid for its place.

The short answer

If stealth mode and screenshots are the problem, ActivTrak and WorkTime report application use without images on their standard plans, and Hubstaff makes screenshots optional and visible.

If the add-ons are the problem, Apploye puts screenshots, stealth and Linux in plans from $4.50, Time Champ starts at $3.90, and Time Doctor includes screenshots on every plan from $6.70.

If you need mobile and GPS, which Insightful lacks, Hubstaff, Time Doctor and Apploye have mobile apps with GPS. If you need security-grade controls, Teramind and Veriato add keystrokes, DLP and on-premises deployment below Insightful's 250-seat threshold.

What Insightful costs and does in October 2026

Insightful

Insightful

The incumbent
Runs on Windows, macOS, Linux; no mobile app, no GPS Pricing (October 2026) Workforce Analytics $8, Workflow Optimization $12 (beta, select customers), Combo $16 per seat per month billed annually; month-to-month billing on select plans, price not published; Enterprise and Hyperscaler by quote; add-ons per seat per month: Workspace Security $4, On-Demand Screenshots $4, Increased-Frequency Screenshots (up to 120 an hour) $3, Screen Recording $4, Data Warehouse Integrations $0.50; 7-day trial; on-premises on Enterprise from 250 seats Monitoring Optional screenshots

What it is

Insightful, renamed from Workpuls on April 6, 2022, records application and website use, activity and screenshots, reports capacity and utilization, and on its analytics plan includes time and attendance, automatic and manual clock-in, break capture, shift scheduling, projects and manual time. Combo adds payroll, location insights and an account manager; Enterprise adds insider threat detection, audit logs and SSO. The comparison table on its pricing page shows 24 months of data retention on every plan. Stealth mode is available on company-owned devices and removes the employee dashboard and automatic time mapping; there is no keystroke logging.

Better than Insightful

  • 24 months of history, the longest among the lightweight tools
  • Linux agent and on-premises option
  • Attendance, projects and payroll alongside analytics

Where Insightful is still better

  • Screen recording, on-demand screenshots and higher-frequency capture are $3 to $4 add-ons each
  • No mobile app or GPS, so field staff cannot be covered
  • Stealth mode and reports of system accounts counted as billable seats draw the trust and billing complaints

Who should switch to it

Office teams of 20 to 500 that want analytics with screenshots and a long record. Our employee monitoring software review places it among its peers.

Why people leave Insightful

Stealth mode and the trust cost

Insightful markets stealth mode for company devices. Employees who discover a hidden agent treat every later number as suspect, and in several states a hidden agent collides with the written monitoring notice the law requires. Forum threads call it invasive; Insightful's own documentation says stealth removes the employee's dashboard.

Fixed by: visible agents by design: ActivTrak, WorkTime, Hubstaff, DeskTime.

Add-ons on top of add-ons

Screen recording, on-demand screenshots, higher-frequency screenshots and workspace security are each $3 to $4 per seat per month, so an $8 plan with recording and security is $16 before Combo.

Fixed by: Apploye (screenshots and stealth on plan from $4.50), Time Doctor (screenshots on every plan), Time Champ ($3.90).

Seat counting and billing

Reviewers describe system accounts such as local admin and default profiles being counted as billable users, and disputes over seats added automatically. Combined with annual billing, the invoice is hard to predict.

I wish [Insightful] wasn't so expensive for all the premium features.Capterra review by a COO, as reproduced in a competitor's review; date not independently confirmed

Fixed by: per-active-user billing with published refund terms: Apploye (30-day refund), Hubstaff (30-day money-back), WorkTime (cancel auto-renew any time).

No mobile or GPS

Insightful covers desktops only. Field staff, drivers and anyone clocking in from a phone need a second tool.

Fixed by: Hubstaff (GPS job sites), Apploye (mobile GPS), Time Doctor (Android).

Activity scoring undervalues calls and meetings

Like every activity-based tool, Insightful's score drops during calls, reading and meetings, and reviewers find its automatic time mapping less reliable than manual logs.

Fixed by: tools with manual entry and approvals: Hubstaff, Time Doctor; or analytics that do not score individuals: ActivTrak.

Compliance-grade needs

Insightful has no keystroke logging and no data loss prevention, and on-premises deployment starts at 250 seats. Regulated employers with smaller teams cannot get the deployment they need.

Fixed by: Teramind and Veriato (DLP, keystrokes, on-premises from 5 seats), WorkTime (compliance modes, on-premises).

Office teams whose problem with Insightful was how it felt to staff. Our ActivTrak alternatives page covers the reverse move.

Switching

Insightful exports reports to CSV; ActivTrak starts clean. Reclassify applications in ActivTrak before the Insightful contract ends.

Apploye

The feature set at a third of the price

  • Mobile GPS and Linux
  • On-premises from 100 users against Insightful's 250; 30-day refund

Better than Insightful

  • Mobile app with GPS job sites
  • Visible agent, screenshots optional per project

Where Insightful is still better

  • Activity score invites disputes; see our Hubstaff alternatives page
  • Thinner analytics than Insightful's capacity reports
  • 2-seat minimum

Who should switch to it

Businesses with field staff or a payroll need that Insightful could not cover.

Switching

CSV import of members and projects; set screenshot policy per project first.

Time Doctor

Time Doctor

Screenshots on every plan, payroll on Standard
Runs on Windows, macOS, Linux, Chromebook, Android Pricing (October 2026) Basic $6.70, Standard $11.70, Premium $16.70 per user per month billed annually ($8, $14, $20 monthly); 14-day trial; data history 3 months, 6 months, 2 years

Where Insightful is still better

  • Screenshots cannot be turned off

How to switch

  1. Export 24 months of reports first. Insightful's retention is its strength; pull custom and scheduled reports to CSV before the account closes, because no alternative imports them.
  2. Check your contract for the notice period and auto-renewal. Insightful's terms were not readable for this article; read your order form.
  3. Decide whether the replacement is visible or hidden. If you are moving from stealth to a visible agent, tell staff what changed and why; if the replacement records more, employees in Connecticut, Delaware and New York must get a written notice first. Our monitoring policy template has the wording.
  4. Audit seat counts on the new tool in the first month, because Insightful's billing disputes were about seats, and several alternatives also bill every account that logs in.
  5. Uninstall the Insightful agent from every device after the export, including machines of departed employees.

How these tools were chosen

Each tool was checked on October 21, 2026 against the same list: what it records and how deep, whether a stealth mode exists, data retention, platforms including mobile and Linux, deployment thresholds, billing terms and add-ons, and the export path. Insightful's prices, add-ons and 24-month retention were read from its pricing page that day; its stealth behavior comes from a competitor's review and should be confirmed in Insightful's documentation. Teramind's and Controlio's prices come from our October 2026 monitoring review because their pricing pages were unavailable to automated requests. One review quote is reproduced as relayed by a competitor and is labeled as such. No vendor paid for placement and there are no affiliate links.

Disclosure. I have done work for Time Champ. It appears here because it belongs in this category, it is held to the same criteria as every other product, and its drawbacks are listed like everyone else's.

Key takeaways

Frequently asked questions

What is the best alternative to Insightful?

ActivTrak if stealth mode and screenshots were the problem: visible analytics without images. Apploye if the add-ons were: screenshots, stealth, Linux and mobile GPS from $4.50. Hubstaff if you need field staff covered with GPS and payroll. WorkTime for regulated employers wanting no images and unlimited history. Teramind or Veriato for keystrokes, DLP and on-premises below 250 seats. The chooser above ranks them.

Is Insightful the same as Workpuls?

Yes. Workpuls was renamed Insightful on April 6, 2022. Some review marketplaces still list it under the old name.

How much does Insightful cost?

Workforce Analytics $8 per seat per month and Combo $16, billed annually, with Workflow Optimization at $12 in beta and Enterprise by quote. Add-ons are $4 for workspace security, $4 for on-demand screenshots, $3 for higher-frequency screenshots, $4 for screen recording and $0.50 for data warehouse integrations, each per seat per month. Month-to-month billing is available on select plans at an unpublished price.

Does Insightful have a stealth mode?

Yes, on company-owned devices; personal devices default to visible mode. In stealth mode the employee dashboard and automatic time mapping are unavailable, and Insightful does not log keystrokes in any mode. Hidden monitoring does not satisfy the written-notice laws in Connecticut, Delaware and New York, which require employees to be told.

Does Insightful work on Mac and Linux?

Insightful's FAQ lists Windows, macOS and Linux. There is no mobile app and no GPS, so field staff cannot be covered. Hubstaff, Apploye and Time Doctor have mobile apps.

Which alternative does not take screenshots?

WorkTime records no images by design. ActivTrak takes none on its standard plans; screenshots are an add-on on its lower plans and unavailable on the higher ones. DeskTime keeps them on Premium only, and Hubstaff makes them optional per project.

Can I self-host an alternative to Insightful?

Yes. Teramind and Veriato deploy on-premises from five seats, WorkTime offers private cloud and on-premises, Controlio runs on-premises, and Apploye offers on-premises as a $3 per user add-on from 100 users. Insightful's on-premises option starts at 250 seats on Enterprise.

Which alternative keeps data longest?

WorkTime keeps unlimited history on paid plans. Insightful's own 24 months is longer than ActivTrak's six months to a year, Apploye's six to twelve, Time Doctor's three months to two years, and Monitask's one to two months.
